Compare candidate tasks by recurrence, input quality, output clarity, exception rate, review effort, and consequences of mistakes. Automate a bounded step after the manual route and its checks are understood.
In this guide
Which task should this team automate first?
Read the last column as the team's proposed scope, not a software ranking. For the reply trial, take three ordinary questions and two exceptions from material you are allowed to use. Record whether the draft cites the right policy and how much correction it needs. A task that needs little generative reasoning may be better handled by a rename rule than an AI service.
| Candidate | Input and exceptions | First deliverable | Decision |
|---|---|---|---|
| Delivery replies | Current policy; exceptions need a person | Reply draft plus source section | Trial as a draft-only task |
| Send replies automatically | Destination, authority, and exceptions vary | External customer message | Keep manual during the first trial |
| Rename downloaded files | Stable naming pattern; collisions possible | Old/new filename manifest | Try a deterministic preview first |
Describe the recurring work before choosing software
List tasks you actually repeat, using a recent example of each. Record the trigger, inputs, normal output, common exceptions, current effort, and the person who decides whether it is correct. A broad aim such as improve marketing needs to become a bounded task such as prepare a draft weekly content brief from approved records.
Separate moving data, applying fixed rules, and interpreting language. Some steps can use ordinary formulas or rules, while a model may help organize unstructured text. Adding AI to a deterministic step can introduce cost and variability without solving the actual bottleneck.
- Choose tasks with examples and a clear output that someone can check.
- Inspect whether required inputs are available consistently and whether permissions allow the proposed processing.
- List the exceptions and how a failed or uncertain record should reach a reviewer.
- Estimate the complete effort and cost, including setup, corrections, and maintaining the routine.
- Select a first step that produces a reviewable draft or working table without making a customer commitment.
- Run representative cases manually under the proposed rules before building the automation in your chosen platform.
Define success before connecting the apps
Save representative normal, missing-input, conflicting-input, and duplicate-event cases. Define the acceptable result for each. Measure your own preparation, correction, and review effort during the trial, and keep the cases that failed.
When the manual process is stable enough to describe, implement the selected step in your own Activepieces or other approved environment. Follow current setup documentation for credentials, triggers, and actions. Keep publication of the automation and approval of its individual business outputs as separate decisions.
Ask for a task comparison with unknowns exposed
Compare these AUTOMATION CANDIDATES: [recent examples]. FOR EACH: trigger, inputs, normal output, exceptions, current effort, reviewer. CONSTRAINTS: [accounts, budget, permitted data, external actions] Identify deterministic steps, language-interpretation steps, and human decisions. Propose a bounded first version, required checks, exception route, and evidence needed to judge usefulness. Keep unknown effort/costs unknown. Do not choose by invented savings or assume an integration has permissions or features that were not supplied.
Expand after the first step is observable
Keep the input, output, run status, exceptions, and reviewer changes visible. Add the next step when you can tell whether the current one worked and how to recover when it did not. A smaller reliable routine is a useful asset even if the rest stays manual.
